Review Management

Read every Google review a listing has, draft replies to them, and keep track of which reviews have been answered.

Review Management shows a listing's Google reviews in one place and drafts a reply under each one. You read the draft, change it if you want, copy it, and post it on Google yourself. Use it to answer new reviews quickly and to see which reviews still have no reply.

#Before you begin

You need a listing in DigitPeak. See Add a listing. Its reviews appear on their own once it is added. Reading reviews does not use credits.

To draft, edit or export, you need the Owner or Editor role on the project. A Viewer sees the reviews and figures without the buttons. See People and roles.

#Open a listing's reviews

  1. Open Review Management in the menu.
  2. Find the listing in the list. Each card shows Total Reviews, Average Rating and Not Replied, and when the reviews were last read.
  3. Click the listing to open it.

The page has three tabs: Reviews, described here, Reply Drafts, which writes sample replies (see AI replies), and Review Poster, described under Review Poster.

#Answer a review

Every review has a reply box under it. The line above the box says where the reply stands:

  • No draft yet: nothing has been written.
  • Draft, not published: a reply is waiting for you. It is not on Google. edited here is added once someone has changed it.
  • Your reply: the review already has a reply on Google.

To answer a review:

  1. Click Draft a reply. DigitPeak writes a reply in the box. The button then reads Draft again.
  2. Change any words you want in the box. Your change saves when you click outside the box.
  3. Click Copy reply.
  4. Open the review in Google Business Profile and paste the reply there.
  5. Back in DigitPeak, click Mark as replied.

The review's badge changes from No reply yet to Marked as replied, and it counts as answered straight away. If you marked the wrong review, click Undo.

You can also type your own reply into an empty box without clicking Draft a reply. It is kept as a draft the same way.

Cannot be undone: Draft again replaces the text in the box, including any changes you made to it.

#Reviews DigitPeak does not draft

DigitPeak writes replies to four- and five-star reviews only. A review of one, two or three stars, or a review with no star rating, has no Draft a reply button. Those reviews are left for you to answer: type your reply in the box.

#Discard drafts

  • Discard on a review throws away that review's draft.
  • Discard all at the top of the list throws away every unpublished draft on the listing, including drafts you edited by hand. It asks first: click Discard N drafts? to confirm, or Keep them to cancel.

Neither button touches a reply that is already on Google or marked as replied.

#Draft every waiting review at once

Draft N waiting at the top of the list drafts a reply for each four- or five-star review that has no reply and no draft. It works through them one at a time and shows "DigitPeak is drafting… 3 of 12" as it goes. Click Stop to end it early. Drafts already written are kept.

#Find reviews

Use the controls above the list:

  • All and Not replied switch between every review and the ones without a reply. Each shows its count.
  • The rating menu shows Any rating, Positive (4 and 5 stars), Negative (1 to 3 stars), Without a rating, or a single star rating from 5 to 1.
  • The order menu sorts by Newest first, Oldest first, Highest rating first, Lowest rating first or Waiting for a reply first.

The heading shows how many reviews match, for example Reviews (42).

#Reviews in another language

When a review is written in another language, the row shows Google's English translation first, labelled Translated by Google from and the language code, and the reviewer's own words under Original.

Drafts answer the reviewer's original words, never the translation.

#Export the list

Click Export to download a CSV file of the reviews as the list shows them, with the current filters and order. The columns are:

ColumnWhat it holds
ReviewerThe reviewer's name, or Anonymous
StarsThe star rating, blank if there is none
DateThe date of the review
ReviewThe reviewer's own words
TranslationGoogle's translation, if there is one
ReplyThe reply on Google, or the draft
StatusReplied on Google, Draft, not published, or No reply yet

#The figures on the page

At the top:

  • Review Progress charts the reviews DigitPeak holds for the last 12 months, each bar split by star rating. Hover a bar to see the counts.
  • Total Reviews is the number Google says the listing has. A line under it says when DigitPeak holds more or fewer than that.
  • Average Star Rating is the listing's average. Hover the gauge to see how many reviews have each rating.

The Auto Review Draft panel shows four figures:

FigureHow it is counted
DraftedReplies written and waiting for you: drafts that are not on Google and not marked as replied. Drafts you typed yourself count too.
Time savedReplies DigitPeak wrote, drafted or posted, × 3 minutes. Replies you typed yourself and discarded drafts are not counted.
RepliedReviews that have a reply on Google, whoever wrote it, plus reviews you marked as replied.
UnrepliedReviews with no reply on Google yet, and not marked as replied.

The switch in this panel and its Set up button control how replies are written. See AI replies.

#Removed reviews

When a review is no longer on Google, DigitPeak keeps it and stops counting it. The page says how many reviews have been removed from Google, and the listing's card shows the same number. Removed reviews stay in the list, marked Removed from Google, and any draft for them is kept. DigitPeak does not draft replies to them.

#Review Poster

The Review Poster tab makes a printable poster that asks customers for a Google review. You change it on the left and see it on the right. Changes save by themselves.

  1. Under Choose the layout, pick White, Split or Full colour. White keeps the page white with your colour as a thin bar along the top. Split fills the top of the page with your colour and puts the code on white below. Full colour fills the whole page.
  2. Under Match colours with your brand, pick a colour, or the last circle for any colour. The text turns dark or white to stay readable.
  3. Under Create a review link, type the end of the link after app.digitpeak.com/r/. It starts as your business name. Use lowercase letters, numbers and hyphens. If another business has it, the page says "That link is taken." and offers one you can use with Use.
  4. Change the Title and Description if you want.
  5. Under Important phrases, pick up to four. They come from your own Google reviews and your tracked keywords. They appear on the poster under your business name.
  6. Turn Show Powered by DigitPeak off to remove that line from the bottom of the poster.
  7. Under Choose the format, pick A4, A5 or Letter.
  8. Click Export as PDF at the top of the page, and save the poster as a PDF from the print dialog.

Anyone who scans the code, or opens the link, goes to the listing's Google review form. When you change the link, the old one stops working, so print the poster again.

The "A new review this month" and "Send your review link to a customer" tasks show your poster and let you download it. See GBP Tasks.

A Viewer sees the poster and can export it, but cannot change it.

#Limits

  • DigitPeak keeps up to 2,000 reviews per listing.
  • A reply can be up to 4,096 characters, which is Google's limit.
  • Emptying the reply box does not delete a draft. Use Discard.
  • If your browser blocks copying, DigitPeak says so. Select the text in the box and copy it by hand.
